WhatsApp Business setup

Facebook Business, verification, and going live.

5 min

WhatsApp Business API is the enterprise version of WhatsApp. It lets your company send and receive messages from your business number, shared across your team, alongside SMS on the same channel.

Activation is heavier than SMS. There is a Facebook layer, a verification layer, and a handful of codes to confirm. We schedule a session and walk you through it on your computer. Plan on about 30 to 45 minutes.

Before we start

Three things have to be ready on your side.

  • An active Facebook account owned by your business. A personal Facebook profile that can log in. Not a page. The profile.
  • A device that can receive an SMS or phone call on the business number. The number we are activating WhatsApp on.
  • A scheduled session with Vocatech. We book a time, screen-share if helpful, and step through the flow together.

The activation happens on your local computer, not on our servers. Facebook requires the customer to drive the process. We guide, you click.

What Facebook creates

During activation, Facebook automatically creates two linked accounts under the hood:

  • A Facebook Business account tied to your business.
  • A WhatsApp Business account tied to your phone number.

You will not need to do anything with these after activation. They live in the background and exist so Facebook can authenticate your business going forward.

The verification step

The number you are activating has to prove it belongs to you. Facebook sends a verification code one of two ways.

  1. A text message to the number with a six-digit code.
  2. A voice call that reads the code aloud.

You pick the method. SMS usually lands in a few seconds. Voice is the fallback if SMS does not come through. Type the code into the Facebook screen, and the number is verified.

Going live

Once the number is verified, we finish the connection from the Vocatech side. Your WhatsApp conversations start flowing into the same place your SMS conversations already flow, whether that is Textdock in Webex or your email inbox.

There is no separate WhatsApp app for your team to install. No separate login. WhatsApp messages show up alongside SMS in the same thread layout, marked with the WhatsApp icon so you know which channel the customer used.

What it will not do

A few constraints that come from WhatsApp itself, not from Vocatech.

  • One-on-one conversations only. The Business API does not support group chats.
  • No status posts. The status feature is a consumer-only thing.
  • No WhatsApp calls. Voice and video calls inside WhatsApp are not part of the Business API.

Common activation issues

Two things cause most of the friction we see.

Facebook asking for extra verification. If the Facebook account you are using is new or has not logged in from that computer before, Facebook may ask for a photo ID or additional confirmation. This is a Facebook flow, not a Vocatech flow. Finish it with them and come back to the activation.

The SMS verification code not arriving. Switch to the voice call option. It reads the code aloud and is a reliable fallback.

Running both channels

After activation, the same main company number handles both SMS and WhatsApp. Customers choose which channel to use. You reply in the same conversation thread either way.

You do not have to pick one or the other. Running both is the default once activation is complete.
