Platform. AI Agent

Picks up when your team can't.
Hands off when they can.

An agent on its own extension. It answers in your words, knows who is calling, looks up orders and appointments in your own systems, puts callers through to a person the moment they ask, and takes the message when nobody is free. It backs up the team. It does not replace them.

Is Ellen around? The boiler at 40 Grove is down again.
Ellen Price, ext 104. Asked first: on a call.
AI Agent
Ellen is on a call right now. Do you want to hold, or should I take a message?

Take a message. Tell her the tenants have no heat.

Done. Ellen has it, with your number. Anything else?

On every call

Six jobs it does without being asked.

Each one is a switch on the Jobs tab. Turn on the ones you want. The agent reads the caller's record and history before it says hello, and it never guesses at an answer it does not have.

Knows who is calling

Matches the number against your contacts or a list of your own before the greeting, and greets the caller by name.

Answers from your facts

Reads your Instructions and your questions and answers on every call, searches your lists, and never guesses at anything.

Puts callers through

A word like sales, billing or a name goes to the right extension, group or queue. It can ask the person before it transfers.

Takes the message

The caller’s name, their number and what it is about, sent by email, by text, or straight into your own system.

Reads the history

The caller’s last ten calls and texts with you, from the last ninety days, read before the greeting is even spoken.

Looks things up

Finds the row on one of your lists, or asks your own system by its API: an order, an appointment, an account, a delivery.

Your own jobs

Give it work, in plain English.

A job is the instructions and the action that carries it out, in one place. Start from the library or write your own. When the job is done, the agent emails it, texts it, or posts it to your own system, and it can read your system back to the caller mid-call.

The library
Start from one of these
Book an appointment Order status Take an order Take a pledge Sales lead Support request

Taking an order was trained on tens of thousands of real orders: it confirms each item as it goes, asks for the timing, and reads the whole order back. Booking a visit collects the details you name and sends them where you say.

The action
What happens when the job is done
  • An email to the person or department you name.
  • A text to a cell phone, or both the email and the text.
  • A post to your own system: a ticket, a booking, an order, a CRM record.
  • A lookup in your own system, read back to the caller on the call.
  • An outgoing call: a reminder, a confirmation, a callback, placed by the agent.

Your developer or a no-code tool can drive the same agent through the public API: place a call with a purpose, read the transcript, get the message as a webhook.

Your systems

If it has an API, the agent can use it.

Order status, an appointment, an account, a delivery. The agent asks your own system during the call and reads the answer back to the caller. It can change things too: book the visit, place the order, open the ticket. You describe the connection once. It works on every call.

Look it up
  • Where an order is and when it arrives.
  • When the appointment is, and whether it can move.
  • A balance, a payment, a ticket, a delivery window.
Change it
  • Book or move the visit.
  • Place the order, each item confirmed as it goes.
  • Open the ticket or update the record, in the caller's words.

Shopify, QuickBooks, Salesforce, HubSpot, HHAeXchange, a scheduler, a ticket desk, or the system your developer built. The connection is an address, a key and what to send. You or your developer set it once on the Jobs tab; the key is stored encrypted.

Your greeting. Your hours. Your holidays.

Pick one of eleven voices and a tone, press Test, and hear your own greeting said that way. Set the hours you are open, the closed greeting, and the dates you are closed. Outside your hours it takes messages and does not transfer.

Outgoing calls
A reminder, a confirmation, a callback. The agent picks from its jobs.
English and Yiddish

It answers in English and understands a caller who speaks Yiddish, the same two languages our own office answers in. The greeting is spoken word for word, the moment the call connects. Nothing is read from a script the caller can hear.

What it knows about the business lives in plain facts on its Persona tab and in the questions and answers on its Knowledge tab. Write facts, not adjectives. It reads them on every call.

Why it is different

A person is one word away.

Most AI receptionists are built to keep the caller talking to the machine. Ours is built to get the caller to a person, and to do the job itself only when nobody can.

The usual way
A phone tree with a friendlier voice
  • × Keeps the caller talking to the machine as long as it can.
  • × Transfers blind. Nobody checked whether the person is free.
  • × Guesses when it does not know, and sounds sure doing it.
  • × A separate app, a separate login, a separate call log.
  • × Priced as a whole seat before the first minute.
The Vocatech way
Backs up the team
  • Puts the caller through the moment they ask for a person.
  • Asks the person first. Hold or a message when they are busy.
  • Answers only from your facts. Says so when it does not have one.
  • Its own extension, in the same portal, with every call in Reports.
  • $9.95 a month per line, and the minutes it is actually on the phone.
Routing

It fits the phone system you already have.

The agent is an extension like any other. Your auto attendants, hunt groups and call centers stay exactly as they are. You decide which calls reach it, where it may send them, and what happens when nobody can pick up.

The transfer directory

The word a caller uses and where it goes: sales to the sales queue, billing to accounts payable, a name to that person. Hand the call off, or have the agent ask the person first.

Keys callers can press

A caller who would rather press than talk still can. 1 for support, 0 for the office, 9 to leave a message. The same keys your auto attendant uses today.

When everyone is on a call

You choose what happens when the whole department is busy: the agent offers to hold or to take a message, or it transfers anyway and lets the phones ring.

Lines covered

Any extension can send its unanswered calls to the agent after a number of rings. A hunt group or an auto attendant can point at it after hours. It lists every line it covers.

Before it goes live

Try it before your callers do.

The Testing tab runs the real agent, the real voice and the real jobs. Nothing there is saved, and nothing is sent to anybody.

Hear the greeting

The first line a caller hears, spoken by the live model in the voice and tone you picked.

Talk to it

Type or speak what a caller would say, with the office open or closed and everyone on a call.

Have it call you

The agent rings a number you give it and talks to whoever answers, as it would on a real call.

Look something up

Ask the way a caller would and see exactly what the agent finds in your lists and documents.

Why AI Agent

Nobody waits. Nobody gets a machine when a person is free.

A small business wins because a human picks up. The problem is the calls that come in when every human is already on one, or after the last person has gone home. Those callers used to get voicemail. Now they get answered, recognized, helped or handed off, and written up. It answers our own front desk, in Brooklyn, every day.

And you read every call it took. Each one lands in Reports like any other: the conversation, what the agent wrote down, whether that reached you, what it looked up in your systems, and the time it spent on the line. The Overview tab counts what it handled, handed off and wrote down, and flags the one thing to fix, like a caller who asked for a person and reached nobody, so you can call them back.

Part of the Vocatech platform

One service. Seven products. Every feature your team expects.

Everything on this page runs in the same portal, on the same phone system, with every call in the same Reports. The AI Agent is the one product priced by use: by the line and by the minute.

See the whole platform
Priced by the line and the minute

$9.95 a month per line. $0.20 a minute on the line.

A line is one call at a time; two lines minimum, so a transfer always has a path. The minutes are counted by the second while the AI is on the line. No charge for a call it did not answer.
