Vocatech
Industry. Home care

Before the second ring,
the caseworker already knows.

Vocatech for home care agencies. The HHAeXchange record is on the screen when a caregiver, a patient or a family member calls. Every call is recorded, transcribed, and summarized. Intake and scheduling calls never vanish into memory. Caregivers text the agency number, not a coordinator’s cell.

Every feature included for a flat $29.95 per seat. No tiers, no traps.
What is broken today

What the wrong phone system costs you.

Caseworkers pick up blind
A caseworker is on the HHAeXchange schedule tab working an exception. The phone rings. They have no idea who is calling, or which patient it is about.
Caregivers call from unknown cells
A caregiver calls in a late arrival from a number nobody saved. The coordinator spends the first minute asking who this is and which patient it is about.
Scheduling calls go unwritten
A shift swap agreed on the phone is nowhere on the record. The next coordinator does not know, the visit is missed, and the exception shows up in EVV.
Intake happens in three languages
Intake calls arrive in English, Spanish and Yiddish, often on the same morning. The greeting, the routing and the record all have to handle all three.
After-hours calls land on one cell
The on-call coordinator carries a personal phone. When they leave, the number and the history leave with them, and the next person starts from zero.
Audits need proof
A complaint, a missed visit, a billing dispute. Months later, nobody can play back what was actually said, and the file holds only a one-line note.
What changes with Vocatech

The calls get easier, and the numbers move.

HHAeXchange record in Callpop
The patient or caregiver record opens with the call: name, case status, the last note, a link into HHAeXchange. The caseworker says hello already knowing.
Families and caregivers, one popup
One number can match a patient, a family member and a caregiver assignment. Callpop flips between them with the arrow keys.
Every scheduling call on the record
Recorded, transcribed and summarized. "Caregiver Perez swapped Thursday for Friday with patient Lopez, confirmed with the daughter." Searchable for a year.
Greetings in three languages
Intake lines in English, Spanish and Yiddish, each routed to the right coordinator. Our own team answers your calls to us in English and Yiddish.
Shared texting on the agency number
Caregivers and families text the agency number. The whole coordination team sees the thread in Webex. Nothing stays on one person’s cell.
After-hours on-call that moves
The after-hours line rings whoever is on call this week, from the portal, in one change. Every call is logged and summarized the same way as daytime calls.

Straight answers

What home care agencies ask us first.

Does it really connect to HHAeXchange?
Yes. Your patient and caregiver list feeds the contact directory, so Callpop shows the HHAeXchange record with a link into it the moment a known number calls. Ask us to show it on a live call before you decide.
Is there a HIPAA business associate agreement?
Yes. You accept the BAA in the portal at the standard price. It covers the recordings, the transcripts and the written summaries.
Can intake lines be in Spanish and Yiddish?
Yes. English and Spanish greetings can be typed and read by a voice; a Yiddish greeting is recorded in your own voice. Each line is routed to the right coordinator, and calls are transcribed in the language spoken, Yiddish included.
What about the after-hours line?
The after-hours line rings whoever is on call, changed in the portal in one step. When nobody can pick up, the AI Agent can answer on its own extension, take the message and put an urgent caller through to a person the moment they ask.
What does it cost for a 25-person office?
$29.95 per seat a month, so twenty-five seats is $748.75, every feature included, telecom taxes and fees included, no contract. Field caregivers do not need seats to call or text the agency.
Is there a contract?
No contract, month to month. Instead of a trial, a real person shows you the system on your own calls and sets you up the way you want.
