The short answer
Every call feature that used to live on a desk phone lives in Webex. The buttons are on the active call screen once a call is in progress.
Dial a number
Open the dial pad, type the number or paste it in. For a colleague, type the extension. For an outside number, type the ten digits. The call history sits in the same panel; click any past entry to redial.
Transfer a call
- On the call, click Transfer.
- Type the extension or the number.
- Choose to transfer right away, or to consult first. Consulting lets you talk to the person before you hand the call over, and then you complete the transfer.
To send a caller straight to a colleague's voicemail, transfer to *55 followed by their extension.
Park and pickup
Parking holds a call in a shared spot that any phone in the office can take. On the call, open the More menu and choose Park, or transfer the call to *68 and an extension. Anyone dials *88 and that extension to take it. A phone ringing at another desk in your group is answered from your app with *98.
Three-way calls
Start one call, click Add, dial the second person, and merge when they answer. To drop one person and stay on with the other, open the participant list, select the person, then More and Remove from Conference; on mobile, press and hold the name. That control appears only once a setting is turned on for your company on the platform, which we arrange; ask us if you do not see it. For four or more people, use a Webex meeting instead.
Mute, hold, end
Mute silences your microphone. Hold plays hold music to the caller and stops audio both ways. End hangs up; there is no undo, and a caller who calls back reaches you again the normal way.
Voicemail
Messages land in the Calls tab under Voicemail. Click any entry to play it. If your extension sends voicemail to email, that email carries the message as an audio attachment and nothing else; the written transcript, when transcription is on for your company, is on the call in Reports. Everything about the mailbox is in voicemail.
Forwarding your calls from the app
You can turn on Call Forwarding Always yourself. On the desktop app, open the gear icon, then Calling, then Call forward, and enter a number or an extension, or choose voicemail. On mobile, tap your profile picture, then Settings, then Calling. The phone icon in the app footer turns green while forwarding is on, and the app stops ringing for you.
This covers calls that reach your extension directly. It does not fire while your extension is ringing as a member of a hunt group or a call center. When you need your cell to ring on those calls too, the tool is Office Anywhere. The full picture is in call forwarding.
Do not disturb
The phone system's do not disturb and the Webex app's status do not sync. Your extension can have do not disturb on at the platform, sending every call straight to voicemail, while the app shows you as Available. If your calls all go to voicemail while outgoing calls work, dial *79 from the app or any phone to turn it off (*78 turns it on). The setting is also on the extension's Settings tab in the portal.
Calling out from a second number
When your company has a second number set up as a shared outgoing line, the desktop app can show a Call from picker so you choose which number a call shows. It needs a setting on your seat; ask us.
