Using your desk phone

Transfer, park, voicemail, speed dials, do not disturb, and the admin password.

The short answer

Voicemail: The envelope key, or dial your own extension, or *86.
Park and retrieve: *68 to park, *88 to pick it up from any phone.
Grab a ringing phone: *98 answers a ringing phone in your group.
Do not disturb: *78 on, *79 off.

Poly and Yealink phones differ in their keys, but the phone system underneath is the same, so the codes below work on every phone and in the Webex app.

Transfer

On a call, press Transfer, dial the extension or the outside number, and either hang up right away (a blind transfer) or wait for the person to answer, tell them who it is, and then press Transfer again to hand the call over. To send a caller straight to someone's voicemail, transfer to *55 followed by their extension.

Park and pickup

Parking holds a call in a shared spot that any phone can take. Press Transfer, dial *68 and the extension to park the call against, and hang up. From any phone, dial *88 and that extension to take the call. Group call park is #58. On Poly phones with line keys we can set the park slots up as keys, so a parked call shows as a lit key and one press retrieves it.

A phone ringing at another desk in your pickup group is answered from your phone with *98. To pick up one specific extension, dial *97 and that extension.

Conference

Press Conference, dial the second person, and press Conference again when they answer to join the three of you. What a desk phone can do inside a conference, such as dropping one party, depends on the phone model. The Webex app has a participant list; see making calls in Webex.

Voicemail

The envelope key, dialing your own extension, and *86 all reach your mailbox. The first time in, the system asks for the passcode we set for you, then walks you through recording a name and a greeting. Everything about the mailbox, including resetting the passcode and getting messages by email, is in voicemail.

Do not disturb and forwarding from the phone

  • *78 turns do not disturb on, *79 turns it off. Calls go straight to voicemail while it is on, and the Webex app does not show it, so a phone that never rings is worth checking here first.
  • *72 followed by a number forwards all your calls there; *73 cancels it. *90 and *91 do the same for busy, *92 and *93 for no answer.
  • *31 hides your number on every call you make and #31 shows it again. Or ask us to set it on the extension.

Speed dials and line keys

On Poly phones the spare line keys can watch other extensions and park slots. A lit key means that person is on a call, a flashing key means their phone is ringing and one press picks it up. We set the keys up for you; tell us which extensions each phone should watch. Contacts from your company directory also show up on Poly desk phones. See contacts and caller names.

The admin password and the web page

The phone's advanced settings and its web interface are locked, and the password is not given out. There is nothing in there a customer needs to change: the phone takes every setting from our server. If a phone needs a change, tell us and we push it.

Taking the phone to another provider

A phone you bought is yours. If you ever leave, the new provider walks you through a factory reset on the phone itself, which wipes our configuration and leaves the phone ready for theirs. Nothing on our side has to be done first.
