Removing, renaming, or moving an extension

What a delete takes with it, renaming, and handing a seat to a new person.

The short answer

Deleting: Takes the Webex account and the phone with it. The seat comes off the next invoice.
Renaming: Change the name on the extension, then ask us to push it to Webex.
New person, same seat: A replace: new name, new Apps Login email, new voicemail passcode, new greeting.
Someone left today: Disable their portal login first, then decide about the extension.

Deleting an extension

A delete reaches further than the extension itself. It removes the person from Webex, so the app signs them out for good, and it blanks the provisioning record of any phone on the extension, so that phone stops registering. The seat drops off the next invoice. Call history and recordings already made stay in Reports.

You can delete from the extension's page in the portal, or ask us. Either way, note the person's Apps Login email and the phone's MAC address and model first, because a delete cannot be undone with one click.

Bringing a deleted extension back

Re-create the extension with the same email address and the Webex box ticked, and the Webex account comes back. The desk phone has to be added again by its MAC address and rebooted, because the re-created extension gets a new phone password. Tell us the phone model, because the delete does not keep it. We keep a record of every delete, including the email that was on it, so we can help if the details are lost.

Renaming

The name is on the extension's Overview tab. Change it and save. Webex keeps showing the old name until the new one is pushed to it, which we do on request. The name callers hear in the dial-by-name directory is the extension's own name recording, on the same tab.

Handing a seat to a new person

Moving extension 105 from someone who left to their replacement is a replace, not an edit. The name changes on the Overview tab. The Apps Login email changes on the Apps tab, and that change drops the old Webex person and builds the new one, so the new person gets a fresh welcome email and signs in with it. The voicemail passcode is reset and the greeting is re-recorded. The desk phone stays where it is and needs nothing. Send us the new person's name and email and we do all of it, or do it yourself in that order.

Changing an extension number

Swapping extension numbers between people usually means deleting and re-creating the extensions, and it is handled by us. Say what you want the end result to be and we take it from there.

When someone leaves

  1. Disable or delete their portal login on the Users page, the same day. A disabled login cannot reach anything. See portal logins.
  2. Decide about the extension: delete it, hand it to the replacement, or keep it and forward its calls to a colleague. See call forwarding.
  3. Take them off the texting conversations they were in, if your team uses Textdock.
  4. If the phone is staying on the desk for the next person, it needs nothing; if it is moving, see moving a phone.
