Billing and invoices

Viewing charges, understanding line items, paying.

Billing lives inside the admin portal. Invoices, status, line items, history. Everything except payment method updates, which for security reasons are handled by email.

Billing runs on the 1st of every month. The charge hits before most people are at their desks.

Where billing lives

Sign into admin.vocatech.com and click Billing in the sidebar. You land on the invoice list, newest at the top.

Click any invoice to see line items and download a PDF. The list shows status, total, and date at a glance.

Invoice status

  • Charged. Payment succeeded. Nothing to do.
  • Queued. Invoice is waiting for the billing run. This is the state most current invoices are in until the 1st.
  • Failed. The card was declined. We retry automatically a few times. If it fails for real, we reach out.
  • Check terms. For customers on check terms, the invoice is due 10 days after the 1st.

A failed invoice does not shut off service immediately. We try to reach you first.

Reading line items

A standard invoice has one main line: your seat count times $29.95. Most small businesses stop right there.

Add-ons show as separate lines when you have them. Virtual fax, paging, extra routing numbers, DID messaging add-ons, and any usage-based charges like international minutes.

New York customers see a state sales tax line. Every other state has no telecom tax on the invoice.

Updating your card

There is no self-service card update. For security we handle this by email. Send a note to billing@vocatech.com and we will reply with a secure link to enter the new card.

Never email card numbers directly. The secure link is how we do it.

Questions about a charge

Email billing@vocatech.com or call 718.395.1550 and ask for billing. Usually answered same day. If a line looks wrong or a seat count is off, we will dig in and fix it.

Keep invoice numbers handy when you reach out. It speeds things up.

History and exports

The invoice list shows your full billing history. You can download individual PDFs anytime. For a bulk export across a date range, email billing and we will send a CSV.
