Understanding your invoice

Line items, taxes, and what is and is not a surcharge.

4 min

The Vocatech invoice is short on purpose. Most phone bills are a wall of abbreviations, line items, and fees you never agreed to. Ours is not.

If you have an 8-seat account, the invoice is about three lines long.

The seat lines

Every seat costs $29.95 per month, and on the invoice it is shown as its two components: Voice Line Service at $9.95 (the phone line itself: calling, your number, E911, voicemail, auto attendant, hunt groups, call center) and the Collaboration Suite at $20.00 (the software on top: Webex, Callpop, Textdock messaging, AI transcription, recording, Reports, the portal, and the API). An 8-seat account reads "Voice Line Service x 8" and "Collaboration Suite x 8."

The two lines always add up to $29.95 per seat. They are stated separately because telecom taxes apply to the phone-line portion and not to software, and we account for that precisely instead of approximately. The details live on our tax methodology page. There are no feature tiers; every seat gets everything.

Optional add-ons

A short list of services are priced separately because not everyone uses them.

  • User DID messaging. $4.95 per month. Turns on SMS and WhatsApp on a user's direct number.
  • Extra numbers. $4.95 per month for a number that routes into an auto attendant, hunt group, or call center. $24.90 for a number with incoming plus shared outgoing caller ID.
  • Virtual fax line. $14.95 per month per line.
  • Paging or doorbell service. $14.95 per month per dedicated number.

These appear as their own lines if you use them. If you do not use them, they do not appear.

Taxes

Telecom taxes and regulatory fees are on us. They are computed on the Voice Line Service portion and paid by Vocatech. You are not billed separately for federal excise tax, state telecom tax, or USF.

The one exception is sales tax, which appears as its own line where your state requires it for your service address.

What is missing

The rest of the VoIP industry loads invoices with regulatory recovery fees, administrative fees, 911 surcharges, e-rate contributions, and compliance line items. The markup can be 20 to 30 percent on top of the advertised price.

Vocatech charges none of those. No regulatory recovery surcharge. No administrative fee. No compliance recovery. The price you were quoted is the price you pay.

Why it is short

Short invoices are a design choice. One number, $29.95 per seat, shown as its two components. Everything else is optional and clearly labeled. If you want to audit your bill in 30 seconds, you can.

If your invoice ever looks longer than you expected, it is because something changed. A seat was added. A DID picked up messaging. A fax line turned on. Call us and we will walk through it line by line.

Mid-month changes

When you add or remove a seat between invoices, the next bill shows a prorated line for the partial month alongside the full month ahead. The math is always visible. Nothing happens in the background.
